# Customers

> Add a customer, keep their sites and contacts, and start work from the record.

Open **Customers** in the left sidebar. The list is the hub for contacts, sites, and follow-up. Signup already added an example customer that uses your email. Archive that row when you no longer need the sample.

## Add one customer

Click **New customer**. Save a name, an email, and the address where the work happens. The schedule uses that address.

On **Edit customer** you can also set:

| Field | What it does |
| -------------------------------------------- | ------------------------------------------------------------------------------------------------------------------- |
| First name, last name, company, display name | How the customer shows on estimates, jobs, and invoices |
| Email | Where estimates, invoices, and statements are sent. **Add email** when there is more than one |
| Phone numbers | **Mobile**, **Work**, and **Landline**. Add another of the same kind if you need it |
| Tax ID | Optional until your country requires it on a business invoice. The label follows that country, such as a VAT number |
| Lead source and referred by | Where this customer came from |
| Team note | Internal. The customer does not see it |
| Send notifications | Job and account updates for this customer |
| Email marketing | Whether they agreed to promotional email |
| Do not service | Blocks new jobs and visits. Existing jobs and history stay visible |

**Residential** and **Business** are the two segments on the list. A business invoice can stay blocked until the tax ID is on the customer. Which ID, and when, is in [Rules for your country](/help/your-country).

## Import a spreadsheet

Click **Import**. Download the template, fill one customer per row, and upload it. Each row needs a name, an email, and a full address: street, city, state or region, and postcode. Match is on the email. Choose whether to leave an existing customer as-is or update them.

**Export CSV** downloads the list you are looking at.

## Find someone

Search matches name, company, phone, email, tax ID, and address. **Filters** has four controls:

| Filter | Choices |
| ---------------------- | ------------------------------------------------------------------------------------------------ |
| Segment | **All**, **Residential**, **Business**, **Active**, **No activity**, **Do not service** |
| Focus | **None**, **With jobs**, **With outstanding invoice**, **Approved estimate** |
| Created | **Last 7 days**, **Last 30 days**, **Last 90 days**, **This month**, **This year**, **Any time** |
| Tag and Archive status | A tag, then **Active customers**, **Archived only**, or **All customers** |

Click the **Customer** or **Last activity** column header to sort. There is no Created date sort. **Created** is the date filter above.

## On the customer

The header shows the contact, **Outstanding balance**, and **Next visit**. **Create** starts a **Job**, an **Estimate**, an **Invoice**, or a **Service plan** when your plan includes recurring work. **Email client** writes to a saved address. **More options → Edit customer** changes the profile.

The sections on the record, in this order:

| Section | What you use it for |
| ------------------------- | -------------------------------------------------------------------------------------------------------------- |
| Contacts | People on the account. Mark one **Primary contact** and one **Billing contact** |
| Addresses | Service sites. **Set as primary** is the address new work uses. **Set as billing** is the address invoices use |
| Jobs, Estimates, Invoices | Work and bills already linked here. Open a row for the full record. An empty Jobs list has **New job** |
| Recurring | Service plans for this customer, when that feature is on |
| Requests | Intake that is linked to this customer |
| Equipment | Units at this customer’s sites, when the [equipment register](/settings/equipment) is on |
| Notes | Team-only. Not shown in Client Hub |
| Files | Documents tied to this customer |
| Photos | Images tied to this customer |
| Activity | Messages, work, and notes in one timeline |
| Record changes | Who edited this customer |

### Addresses

**Add address** on **Addresses**. Site notes and a default tax rate can sit on that address. **Set as primary** is the address new work uses. **Set as billing** is the address invoices use. Archiving an address hides it from new jobs. Records that already use it keep the old address.

### Contacts

**Add contact** for accounts payable, the person on site, or a second decision-maker. **Primary contact** is who dispatch and billing call first. **Billing contact** is the person the bill is aimed at. Deleting a contact removes that person from this customer. It does not delete the customer.

### Balance and statement

**Outstanding balance** in the header means they still owe something. Open the invoice, or send a reminder from that strip. **Download statement** and **Email statement** send a PDF of open invoices and amounts due. The statement is not a new invoice.

**Request card on file** (the money row, or **More options**) asks them to save a card for later. That needs [Jomioz Payments](/integrations/stripe) ready.

## Archive, delete, and merge

**More options → Archive customer** hides them from the active list. **Restore customer** is on the same menu when you open them from **Filters → Archived only**. The list action is **Restore**.

**Delete customer** is permanent. The dialog says it removes their notes, contacts, and properties. It is refused when they have jobs, estimates, invoices, payments, or a saved card. The title is **This customer cannot be deleted**, and the next step is **Archive instead**. If any selected row is blocked, **Delete** stays off for the whole selection: **Some selected customers have jobs, estimates, invoices, payments, or a saved card. Deselect those, or archive them instead.** It does not skip the blocked rows and delete the rest.

**Merge** keeps one customer and moves the other’s jobs, estimates, invoices, addresses, notes, messages, and payments onto the one you keep. Duplicate addresses are combined. Confirm which row is **Keep this customer** before you merge. The other record is removed.

Do not delete a customer that has a payment.
