# How to schedule a visit

> Put a time on a job so it shows on the schedule.

A job with no visit stays **Draft** and does not appear on the board. One job can have several visits.

<Steps>
  <Step title="From the job">
    Open the job, go to **Schedule**, and click **Add visit**. Set the day and times. **Title** and **Notes** are optional. Notes are the instructions the crew sees. Turn on **Notify customer** if they should get a message about this time. Click **Add**.
  </Step>

  <Step title="From an empty gap">
    On **Schedule**, click an empty slot. You can add the visit to a **New job** or an **Existing job**. An existing job gets this visit only. Its other visits and its prices stay as they are.
  </Step>

  <Step title="From work that is waiting">
    On **Schedule**, open **Unscheduled**. Drag a job onto a time, or onto a day to set the hours. Search that list if you have a lot waiting.
  </Step>
</Steps>

**Find open times** on the job, and **Find a Time** on the schedule, suggest a slot instead of you picking the clock time. See [Find a Time](/help/schedule-find-time).

## More than one day

In the visit dialog, **Repeat this visit** plans more stops: every day, week, or month, for a number of times. Check the dates it lists before you save. That is a series of visits on this job. A service plan is the separate repeating agreement, under [Service plans](/settings/service-plans).

**Arrival window** is the range you tell the customer, separate from the exact start and end you use for the crew.

A visit with no clock time can be saved as floating (a duration, no fixed start). **All day** only appears when all-day visits are turned on under [Job settings](/settings/jobs).

Completed, skipped, or cancelled visits cannot be moved until you reopen them. The toast is **Completed, skipped, or cancelled visits can’t be moved. Reopen first.**

## What you set on the visit

Open the visit and click **Edit**. The description on that dialog is the list of what it changes: title, instructions, schedule, arrival window, and team.

| Field              | What it does                                                                                                                                                                                                                                         |

| Date, Start, End | The slot on the board. **Set date and times first** if you save without them |
| Arrival window | How wide the arrival you tell the customer can drift from the start. **No window** leaves it exact |
| Crew | Assigns everyone on that named roster |
| Assign team member | People on this stop. **All members assigned** means there is nobody left to add |
| Repeat this visit | Every N days, weeks, or months, a number of times. The summary counts the visits planned and tells you to check the dates before saving |

**Fill times with AI** guesses a duration and looks for a free slot. It needs a customer and a job address, because it uses travel time. **Times filled. Save to book them.** Nothing is booked until you save. **No free slots in those windows** means widen the search.

**Notify customer** on add, and the later prompt **Notify customer about this visit change?**, are how the customer hears the time. **Save without notifying** keeps the change private. **Save & notify by email** and **Save & notify by WhatsApp** send it. WhatsApp only appears when that channel is connected.

A visit with no clock time is floating: a duration, no fixed start. Availability checks for assigning people run on fixed times. You can still assign a team on a floating visit. **All day** (full day, no start or end clock) only appears when all-day visits are on under [Job settings](/settings/jobs).

**Include days you're closed** keeps a planned day that falls on a closed business day. Off, those days are skipped and marked **Closed**.

## After it is on the board

Click the visit. Status is **Scheduled** until someone starts it. **Finish visit** opens the visit page so checklists, photos, and a signature can be recorded. **Mark complete** from the schedule is the same finish. See [How to finish a visit](/help/job-finish).

Moving it later is [How to move a visit](/help/job-move). Who is free across the day is [Dispatch and the map](/help/schedule-dispatch).
