# Automations

> The extra follow-ups on Settings → Automations, and the reminders that live on other pages.

Open **Settings → Automations**. The top of the page is an index. The workflows underneath are extra messages. They do not replace the reminder you already configure next to the work.

A workflow sends only when it is **Enabled**, the wait has passed, the filters match, and the channel can send. **Save workflow** keeps the subject, the body, the wait, and the filters. You need a message body before the workflow can be turned on.

WhatsApp workflows stay hidden until WhatsApp can send. If the label says **WhatsApp rule (finish Communications to send)**, connect it under [Communications](/settings/messaging) first.

## Primary reminders

These are edited on the page they belong to. Opening them from Automations only jumps there. Overdue invoices, estimate follow-ups, visit reminders, post-job thank-yous, and recurring plan visits are not edited in the workflow list.

| On this page | Where you actually set it |
| ---------------------------- | -------------------------------------------- |
| Payment reminders | [Invoices → Reminders](/settings/invoices) |
| Estimate follow-ups | [Estimates → Reminders](/settings/estimates) |
| Visit & review reminders | [Jobs → Reminders](/settings/jobs) |
| Service plan visit reminders | [Service plans](/settings/service-plans) |

The Google review link used by a review request is also under **Jobs → Reminders**, not here.

## Optional follow-ups

Each workflow is one starting event, a wait, optional filters, then one message. The message is a follow-up. It is not the email or SMS you send yourself when you first deliver the estimate, invoice, or visit.

| Workflow | Starts when | What the customer gets |
| --------------- | ------------------------------------------ | ---------------------------------------------------------------------------------------------- |
| Estimate sent | Someone sends an estimate | An extra message after that send. The estimate email itself is under Estimates → Email & SMS |
| Invoice sent | An invoice is sent | An extra message after that send. Overdue chasing stays under Invoices → Reminders |
| Visit scheduled | A visit is put on a job for the first time | An extra message after it is booked. The scheduling email is under Jobs → Visit messages |
| Visit completed | A visit is marked complete | An extra message after that visit. The thank-you after the whole job is under Jobs → Reminders |

### Wait

**Wait** is **Minutes**, **Hours**, or **Days**. **Send as soon as the trigger happens** means no extra wait. The first message you sent yourself still goes out on its own. This wait is only for the follow-up.

### Only if

Both filters are optional.

| Filter | Effect |
| --------------------------------------------- | -------------------------------- |
| Customer has an email on file | Skip them when there is no email |
| Customer has a mobile or phone number on file | Skip them when there is no phone |

### Then

**Email subject** and **Message body** are the follow-up. A WhatsApp workflow sends the message body on WhatsApp instead of email. Use the placeholders so the name, total, or link is filled in for that customer. An empty language gets English until you write that version.

If a follow-up never goes out, check three things: the workflow is enabled, the channel is connected, and the starting event has happened in Jomioz. Sending a message yourself does not count as that later follow-up.
