# Job settings

> What each control under Settings → Jobs changes for numbering, customer messages, costing, and templates.

Open **Settings → Jobs**. There are five tabs: **General**, **Reminders**, **Cost & materials**, **Templates**, and **Visit messages**.

Asking a customer to move a visit they already have in Client Hub is a different switch, under [Client Hub](/settings/client-hub). This page is what your team and the scheduling emails do.

## General

### Job reference numbers

The **pattern** is the number on new jobs. Tokens are `{SEQ}`, `{YYYY}`, `{YY}`, `{MM}`, and `{DD}`. If `{SEQ}` is missing, it is added for you. **Sequence padding** is how many digits the number uses (1 to 10). **Next sequence number** is the next job that will be created. The preview updates before you save.

### Estimates on jobs

**Allow estimates on jobs** lets you attach an estimate to a job that already exists. Off means estimates stay separate until you convert one into a job.

### All-day visits

**Allow all-day visits on the schedule** only shows when route planning is on for the workspace. On means a visit can cover a whole day instead of a clock time, so you can group stops and set the order for each person.

### Customer notifications

**Send transactional job messages to customers who turned notifications off** still sends scheduling messages (the visit itself) to someone who opted out of other mail. Off means those customers are skipped.

### Appointment confirmation

**Ask customers to confirm visit times in Client Hub** puts confirm and decline links in the scheduling email, and the same actions in Client Hub. The options under it only appear while this is on.

| Setting | What it does |
| ----------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Highlight unconfirmed jobs on the schedule and job list | Unconfirmed visits stand out until the customer confirms |
| Let customers suggest another visit time on the public page | They can propose a different time from the public appointment page. This is not the reschedule button inside Client Hub |
| Email the team when a customer suggests a new time | That email goes to the company support address |
| When a customer declines the appointment | **Notify staff only; job stays scheduled**, or **Automatically cancel the job**. Auto-cancel also sends the cancellation email if that switch below is on. Use auto-cancel only when that is your policy |
| After moving a job on the calendar, prompt to email the customer the new time | Dragging the visit asks you before the customer is told |
| Email the customer when a job is cancelled | They get an email when the job is cancelled |

### Auto-create invoices

**Create a draft invoice when a job is marked complete** runs only when the job still has work that has not been invoiced. It will not create a second invoice for the same work.

| After creating the draft | Effect |
| -------------------------------- | --------------------------------------------------- |
| Leave as draft for review | The invoice waits until someone sends it |
| Send to the customer immediately | The invoice is sent as soon as the job is completed |

## Reminders

**Visit reminders** only appear when WhatsApp messaging is on for the workspace. **Send visit reminders** messages the customer on WhatsApp before a one-off scheduled visit. Set **Days before visit** and **Send at**. Off means no automatic visit reminder. If WhatsApp is not connected, the card says so and nothing sends.

**Post-job thank-you & reviews** emails the customer after the job is marked complete.

| Setting | What it does |
| ----------------------- | ---------------------------------------------------------------------- |
| Send post-job thank-you | Off means no automatic thank-you |
| Wait before sending | How long after completion the email waits |
| Google review URL | Optional. Put `{{review_url}}` in the message where the link should go |
| Collect in-app feedback | Adds a one-time link to rate the visit |

The thank-you subject and message are edited on this tab. Extra delayed follow-ups, separate from this, live under [Automations](/settings/messaging).

## Cost & materials

**Job costing** controls what the job screen shows. It does not change the customer’s invoice.

| Setting | On |
| -------------------------- | --------------------------------------------------------------------------------------------- |
| Show job costing breakdown | Actual costs, margin, and profit on the job |
| Show expected job costs | Expected service cost next to what you actually spent |
| Material job inputs | Materials tracked apart from the invoice lines |
| Labor costs | Employee labor rates count toward job cost. The rates themselves are under Team → Labor costs |
| Commissions | Commission amounts show on the job. Turn commissions on for reports under Team → Commissions |
| Part # | A part-number column on material lines |

**Expense categories** are the labels when someone records a job expense (fuel, parts, permits). Removing a category leaves the old name on expenses already saved.

## Templates

**Add template** pre-fills a kind of job: private notes, services and materials from the price book, checklists, visit length, how many visits, priority, and a default crew. Price book items cannot be edited on the template. You edit them on the job after the template is applied. Visit length sets the end time. The visit count seeds that many visits on consecutive working days. Deleting a template does not change jobs already created from it.

## Visit messages

This is the wording for scheduling emails and SMS: times, confirmations, proposed times, and cancellations. It is not the invoice email and not the estimate email.

| Switch | Off | On |
| ------------------------------------------- | ----------------------------------------- | ------------------------------ |
| Custom email for scheduling & visit updates | Built-in email in the customer’s language | The subject and body you write |
| Custom SMS for scheduling & visit updates | Built-in SMS | The SMS you write |

**On my way** is saved separately underneath. Off uses the built-in on-my-way email and a short SMS. On lets you edit that message only. `{eta_note}` is the arrival note the person on the job types. Changing on-my-way wording does not change the scheduling SMS.
