# Time tracking

> Job timers, the workday clock, pay periods, shift hours, and timesheet rules.

Open **Settings → Time tracking**. There are two clocks. They do not replace each other.

Hourly rates used for profit on a job are not here. They are on each person under **Team → Labor costs**.

## Employee time tracking

| Setting | What it records |
| ----------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| Labor on jobs, estimates & recurring work | Travel, time on site, and breaks on that job, estimate, or recurring job. Assigned people can start the timer there. It shows on the job for cost and history. If recurring work is not on your plan, the label is **Labor on jobs & estimates** and it does not include plans |
| Workday clock in / out | A daily clock in and clock out for attendance timesheets. This is not time on one job |

You can turn either one on, or both.

## Pay periods

These set the timesheet boundaries and the payroll export, in the company timezone.

| Period length | Effect |
| ------------------------ | ------------------------------------------------------------------------- |
| Weekly | One week. **Week starts on** chooses the first day |
| Biweekly | Two weeks, counted from the **Anchor date** (the first day of period 0) |
| Monthly (calendar month) | The 1st through the last day. Week-start and the anchor date do not apply |

## Workday schedules and reminders

This block is for the workday clock.

**Default workweek** is the shift hours when a person follows company defaults. **Edit default hours** sets start and end for each day. **Overnight** means the shift ends the next day. A person can override this on their own **Time & schedule** tab.

**Smart reminders** send a push based on their schedule and today’s visits.

| Setting | Effect |
| -------------------------------------------------------- | --------------------------------------------------------------------------------- |
| Clock-in reminder (minutes before shift) | Nudge before the shift starts |
| Clock-out reminder (minutes before shift end) | Nudge before the shift ends |
| Late clock-in grace (minutes after shift start) | How long after the start still counts as on time |
| Missed clock-out alert (minutes after shift end) | Alert if they are still clocked in after the shift |
| Break overrun grace (minutes after planned break length) | How long a break can run past the plan before a nudge |
| Last visit clock-out nudge (minutes after visit ends) | Nudge to clock out after the last visit of the day |
| Overtime nudges | Notify when the day’s hours pass the ordinary-hours threshold under Workday rules |

**Location-aware reminders** nudge when a location sample shows someone at a scheduled job site without clocking in, or on site without a job timer.

| Setting | Effect |
| ---------------------------- | ---------------------------------------------------------- |
| Job site radius | How close to the site counts as “there”, in meters or feet |
| Location freshness (minutes) | How recent the location sample must be |

The screen says field staff need background location on the mobile app (**Settings → Field location**) for those job-site nudges to be reliable.

## Workday rules

**Quick setup** loads a bundle. You can change any option after that. If the note says it matches a setup, the individual options below are still what is saved.

| Quick setup | What it turns on |
| ---------------- | ----------------------------------------------------------------------------------------------------------------- |
| Standard | Daily clock and timesheets only. No breaks, no worker time log, no submit confirmation |
| Enhanced | Workers can review their time log and must confirm before they submit a pay period |
| A country preset | Shown only when your company country has one. What it turns on is in [Rules for your country](/help/your-country) |

| Setting | Effect |
| ------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| Workday breaks | Workers can start and end a meal or rest break while clocked in |
| Worker time log | They see a daily history of punches and breaks for the current pay period |
| Worker self-export | They can download that log as CSV |
| Submit confirmation | They must confirm before a pay period is submitted |
| Tax ID on payroll export | The payroll CSV includes the tax ID when it is set on the member |
| GPS required on mobile clock | Clock in and clock out from the mobile app need a location sample |
| Correction workflow | **Manager edits only**, or **Worker requests, manager approves**. In the second mode, workers cannot edit a punch themselves. They submit a correction request |
| Worker acknowledges corrections | After a manager edits a punch, the worker must acknowledge or dispute it |
| Daily ordinary hours threshold | Hours past this in a day count as overtime in the time log and team summaries. Blank turns that off. The placeholder is 8 |
| Time log retention (years) | How many years the log is kept. That also allows a retention archive export for years that qualify. A country preset fills this in when local rules set a number |
