If they accept in Client Hub

The status updates on its own. Accept and decline have to be allowed under Client Hub → Estimates. If e-signature is on, they must sign before Hub will accept.
2

If they accept by phone or on site

Click Mark approved. Sign on-site is the same acceptance when they are with you and should sign there.

Take a deposit if one is due

Open Money and click Collect deposit. The summary link Open pay opens that same tab. How to set the amount, and how a payment schedule is billed later, is in Deposits and payment schedules. Until the deposit is paid, the status can sit on Pending deposit.
4

Turn it into work

When the page says Ready to convert, click Convert to job. The estimate says Converted to a job, and Open job opens the work. Then schedule a visit.
Convert to invoice creates an invoice from the accepted estimate and does not create a job. Use that only when there is nothing to schedule. Automatically copy an approved estimate to a new job, in Estimate settings, creates the job as soon as it is approved. You still book the visit yourself.

When convert is not there

Convert to invoice is hidden when the estimate has a multi-step payment schedule, or a single payment collected in full on approval. Convert to job is the path. Each stage is invoiced from the job. A deposit with no schedule can still Convert to invoice. If they added work after the job exists, that is a change order, not a second convert.
