Open Settings → Estimates. There are three tabs: Configuration, Reminders, and Email & SMS. Accept and decline in Client Hub is not on this page. That switch is under Client Hub → Estimates.

Configuration

Estimate reference numbers

The pattern is the number printed on new estimates. Tokens such as the year and {SEQ} fill in when the estimate is created. If the sequence token is missing, it is added for you. Sequence padding is how many digits the number uses. Next sequence number is the next one that will be issued. The preview shows the result before you save.

Estimate rules

These apply to estimates you create after you save. You can still override expiration and how many options a customer can approve on one estimate.

Customer payment methods

Default ways a customer can pay a deposit or a scheduled amount on an estimate. Each estimate can override them. These start out the same as Invoice settings. Changing a method here saves an estimate-only default. Bank and check details are not edited here. They stay under Settings → Invoices, and they are shared. You cannot turn on bank transfer or check until those details are filled in there. They show on the estimate and in Client Hub when a deposit or a payment schedule applies.

Estimate PDF

Include images when printing or downloading estimates puts catalog images and option images on the PDF attached to the send email. Line-level visibility in Customer view still applies. Customer view (Configure layout & preview) is the full-screen editor for what the PDF and the emailed document show. It saves as you change it. An individual estimate can still hide or show fields from the estimate itself. You can show or hide the logo, business name and address, estimate number and name, summary, customer name and company, dates (estimate, expiration, service), technician, and the estimate message. On the lines you can show name, description, image, quantity, unit price, and amount, plus the subtotal. Envelope optimized tightens the layout for a window envelope. When there are two pricing options, choose side-by-side or stacked. Three or more always stack. Brand colours tint the table headers and the title. Leave them blank for the default palette.

Reminders

Send automatic estimate follow-ups emails customers who have not approved or declined a sent estimate. Expired estimates are skipped. It checks once a day. This tab follows your plan. If it is locked, automatic follow-ups are not on this workspace yet. When the switch is off, no automatic follow-up goes out. Extra delayed nudges, separate from this schedule, live under Automations.

Email & SMS

This is the cover message when you send an estimate. It is not the follow-up, and it is not the invoice or the visit message. Use the placeholders for the name, total, and link so each send stays correct. Validate templates checks them. Reset estimate send templates to defaults puts the built-in wording back. Saving updates subject, body, and SMS together. Staff comment notifications is the message the customer gets when your team replies on the estimate thread in Client Hub. Custom comment wording is optional. Off uses the built-in message. The link and a short excerpt of the reply can be inserted as placeholders.
